Office Assistant

We are growing quickly, and we are looking for an Office Assistant to support the organization.

• The pay range we’re offering is $20.00 to $25.00/hour.
•  We offer quarterly, merit-based bonuses after a probation period of 90 days.
• 401(K) retirement plans with a 4% match.
• Medical and dental insurance to employees working at least 30 hours/week.

Requirements:

This position requires:

• Working knowledge of computers, QuickBooks Pro, Goldmine or other CRM, Word and Excel.
• Working knowledge of a complex phone system.
• Strong organizational skills, multi-tasking skills and a pleasant demeanor.

Responsibilities:

This position supports the administration, office and sales staff.

• Screen calls, give pricing, take orders, answer general inquires.
• Calculate shipping costs for UPS, FedEx and DHL waybills and ship orders.
• Generate invoices, sales orders, pick lists, quotes and purchase orders in QuickBooks.
• Enter vendor bills and customer checks in QuickBooks and send delinquent statements.
• Maintain loaner/lease/standing orders and RMA logs and set alerts as necessary.
• Process credit references for new customers and vendors.
• Order office supplies, receive the mail and create sales/cost reports as needed.
